If you've been using Year Glance to manage calendars across a team or organisation, you've probably hit this wall at some point.

You set everything up perfectly for your exec team; the right calendars selected, the right view, the right theme. Then someone asks for an all-staff version. So you go back in, deselect some calendars, add others, adjust the settings, change the view type. You share that. Then your board chair asks if they can get a link too, but they only want to see the top-level stuff. And suddenly you're reconfiguring the same account over and over again, trying to remember what you changed and hoping you don't break the setup someone else is already using.

It's a frustrating problem, and it's one I've heard about from a lot of Year Glance users over the past year. Today, I'm genuinely excited to say we've solved it.

What a profile is

A profile is a saved configuration inside your Year Glance account. Think of it like a preset. You set everything up exactly the way you want it, give it a name, and save it. From that point on, you can switch to it instantly without touching anything else.

Each profile is completely independent. It remembers everything about how you had Year Glance set up at the time you saved it.

What a profile saves

When you save a profile, it captures:

  • Which calendars are turned on or off
  • Your settings and configuration options
  • Your theme, colour choices, and any branding or display preferences
  • Your view type (year horizontal, year vertical, monthly, weekly, daily or agenda)
  • The time range your view is set to display
  • A unique share link and embed code, generated automatically

That last one is important. Every profile gets its own link. So you can share a completely different Year Glance view with each audience, or embed separate calendar views on different pages of your intranet or website. And if you update a profile's configuration later, the link stays the same; anyone who has it will automatically see the updated version.

What profiles are not

Just to be clear: profiles are not separate accounts. You don't get a different login for each one, there's no separate billing, and no additional email address. Everything lives under your one Year Glance account with your one login. It's more like having multiple saved presets on the same device; same account, different setups ready to go whenever you need them.

Who profiles are for

Profiles were built with organisations and teams in mind, but they're useful for anyone managing more than one context in Year Glance. Here are four scenarios where they make a real difference.

Organisations managing multiple audiences

A medium-sized organisation typically has several groups who all need calendar visibility, but not the same calendars. The exec team wants to see strategic priorities and leadership schedules. All staff need company-wide events and key dates. The board wants a clean, high-level view with none of the operational noise. With profiles, you build each setup once, share it with the right people, and never have to touch it again unless something changes.

Consultants and agencies

If you work with multiple clients, you know the pain of rebuilding your calendar view every time you need to share something with a different person. Profiles fix that. Set up one profile per client, each showing only the calendars relevant to that engagement, with its own share link. Switch between them in seconds. Your clients get a clean, current view without ever seeing anything that isn't theirs.

Teams across departments or locations

When a business runs across multiple departments or sites, the challenge isn't usually a lack of calendar tools -- it's that everyone ends up seeing everyone else's noise. Profiles let you create a separate Year Glance setup for each team or location, showing only what's relevant to them. Operations sees the production schedule. Marketing sees campaigns and launches. Each team gets its own view, its own link and none of the clutter.

Personal and family use

Profiles aren't just for organisations. If you use Year Glance for both work and personal planning, a profile for each keeps them completely separate without needing two accounts. One profile shows your work calendar in a clean, minimal layout. Another brings in family calendars, school terms and personal events. Switch between them whenever you need to, or share the family one with your partner without exposing your work schedule.

How to get started

Getting your first profile set up takes about two minutes:

  1. Upgrade to a Multiple profile plan under Account Settings > Plans > Multiple Profile switch
  2. Click the profile switcher at the top of the left sidebar
  3. Select + New profile and give it a name (for example, "Board", "All staff" or "Exec team")
  4. Configure your calendars, view type, settings and theme and save
  5. Your share link and embed code are generated automatically. Copy and send!

Your existing setup is automatically saved as your first profile when the feature activates, so nothing you've already built is lost.

Your first profile is included with your plan at no extra cost. Additional profiles are available as an add-on.
