Year Glance knows you care about your privacy and information security. Your privacy is important to us and this privacy policy explains the personal information we collect, how we process it, and for what purposes.

To make this policy easy to find, we make it available from the home page of the Year Glance website at yearglance.com And if you have any questions about this policy, you can contact us.

Applicability of the privacy policy

This privacy policy applies to all information we collect through our web services and mobile applications from Year Glance. 

Throughout this policy, we use the term “personal information” to describe the information that you provide to us which identifies you, such as your name, email address, billing information or other data that can be reasonably linked to the information associated with your Year Glance account. Anonymised information is not considered as personal information because such information doesn’t identify a specific user.

The information we collect

Information you create or provide to us

We encrypt every data transmission containing personal data using Secure Socket Layer technology (SSL).

  • Registration information

When you create a Year Glance account, you provide us with your information including your name, email address, and a password. We do not ask for any unnecessary information. The data that we request at the time of registration is necessary for the provision of our services and support.

  • Billing information

You may choose to provide payment information for a premium Year Glance plan. Your payment details such as payment card details are collected via secure payment processing services are not stored with Year Glance. This data is necessary to provide you with premium Year Glance services.

If you respond to a survey, we collect the information you provide to us.

Information we collect as you use our services

When you log in and use Year Glance, our server collects the log & device data including your device model, operating system, browser type, IP address, system activity, date, time, or location. The device data including IP address and browser user agent are collected to help spam/fraud detection or prevention.

  • App authorisation

Users can connect their third party calendars with Year Glance limited permissions to Google & Outlook. We use OAuth API verification as a verified application.

OAuth is an open-standard authorisation protocol to allow you as a user to approve Year Glance as the service provider or the application to interact with other applications including your calendar(s) or Plutio on your behalf without providing your password. This significantly minimises security risks for both users and service providers by using authorisation tokens to prove identity. We gather very limited information and no event information from your calendar connections.

  • Calendar data

Year Glance provides the connection and access token to your third party calendars. Year Glance stores the ID and name of your third party calendars but does not access or store any calendar event data.  

In other words, we never know your availability, your events or any other calendar details.
Users can remove the access token and permission to third party calendars via Year Glance or the Google / Microsoft Outlook account and security pages.

  • Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

  • Access logs

As most websites and services provided through the Internet, we gather certain information and store it in log files when you interact with our website or service.

This information includes internet protocol (IP) addresses as well as browser type, operating system, identification numbers associated with your devices, time of access, and error logs.

We log website visits and application usage statistics to improve our services.

When you download and use our services, we automatically collect information such as the type of device you use, operating system version, your Tresorit client version and the IP addresses associated with you.

How we protect and store your personal information

We make efforts to ensure security on our systems. Your personal information is safeguarded by our security system in compliance with principles and regulations of Australian cybersecurity and consumer privacy. Year Glance is a verified app under Google and Microsoft Outlook security check. We authorise access to personal information only for those employees as requested to fulfil their job responsibilities. 

Despite our efforts, we cannot guarantee that personal information may not be accessed, disclosed, changed, or destroyed by breach of our managerial and technical safeguards. Therefore, we encourage you to take adequate precautions to protect your personal information as well, including never sharing your Year Glance password with others. 

Year Glance may post a notice on the website, or notify you via the email address you have provided to us if a security breach occurs.

Why we use the information we collect

We collect information to provide you with better services and help you maximise the Year Glance experience. More specifically, the purposes include:

Provide you with personalised services

We gather and use your information to offer our services tailored to your needs. So that you can make the most of your experience with Year Glance and plan your year the way you want.

Maintain and improve our services

We also use your information to ensure our services are functioning well and working towards your expectations, such as recording technical issues that you report to us. Meanwhile, we collect and use your information to keep improving our services. For example, understanding what features you like and dislike about Year Glance helps us strengthen the preferred features and overcome the weaknesses. Furthermore, from the collected information, it helps us develop new services as well. For example, understanding which calendars or management systems you prefer guides us to integrate other calendars and systems into our system in order to build a more holistic planning tool for you.

Measure our performance

We use the collected information to analyse and measure how our services are used.  For instance, we analyse the data about your views and interactions with our sites so we can better know what content or services you prefer and need. Your information is significant for the measurement of our performance so we can keep us on the right track to continue offering you the services that you want. 

Interact with you

We use the gathered information such as your email address to interact with you directly. For example, we may keep you informed about our system improvements or upcoming events to help you achieve your goals.

We use the information we collect to help ensure and improve the security and accountability of our services. This covers detecting, preventing, responding to, or removing fraud, spam, safety risks, and technical issues that have the potential to harm you, Year Glance, or the public.

Who we share your information with

How we share your information within the Year Glance network

You have control over how you share your personal information across our services. We won’t share your personal information outside of Year Glance without your consent. 

For processing payment on Year Glance, we need to share some of your personal information to the third-party payment systems such as Stripe. However, we will not disclose any of your payment information to anyone or any organisation through Year Glance, except with your consent or if we are required to do so to comply with a legal or security process.

How we share your information with other sites

Year Glance does not share your personal information with third parties for illegal, promotional or marketing purposes. 

We may share your information with:

  1. Companies that Year Glance plans to acquire with or be acquired by. If such a combination occurs, we will require the new combined entity to follow this privacy policy to protect your personal information. Before any change, you will receive prior notice and the chance to communicate your preferences, if applicable.
  2. Law enforcement, government officials, or other third parties if Year Glance is compelled to do so by a court order or similar legal procedure when disclosing personal information is reasonably necessary to prevent any form of harm or loss, or to investigate suspected illegal activity as required by law.
  3. Third-party service providers who help us provide services to you or who provide security risk detection or similar services (fraud prevention, payment processing, or technical services) on our behalf. For those service providers under contract, the contract claims that the service providers only use your information associated with the services they perform for us and not for their benefits.
  4. Other third parties if you have specifically requested or authorised to do so.

How long we retain your information

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your personal information 

You can review and update your personal information in your account settings at any time. You can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. Another option for you to remove your calendar data if you want to is to go to your Google or Outlook account settings to disconnect with Year Glance as a third-party application.

Changes to our privacy policy 

Year Glance is always improving. As the Year Glance service evolves, we change this privacy policy from time to time. We will notify you by posting an announcement on our service or by sending you an email if changes are made. We will not reduce your rights under this policy without your explicit consent.
